Document Pre-Approval

Following successful development and testing of a document in the Sandpit site, an author logs on to the Approvals feature of Process Library's Sandpit site. Locating the document in the list, the author selects one or more pre-approvers and sets the document status to Ready for Pre-Approval. This triggers the system to send email alerts to the named pre-approvers with a link to the document and the Document Management interface.

To pre-approve a document:

  1. Click on the link in your notification email. Alternatively, log on to the Approvals feature of Process Library'(any site).
  2. Click on Manage Documents.
  3. If you have multiple roles associated with your account, ensure that you have Approver selected. Click on the Change button if this is not the case. Select the correct role and then click on the Update button.
  4. Locate the document in the tabulated list and then click on its name.
  5. Scroll down to Actions.
  6. Select either Rework Required or No Change Required.
  7. Add text to the Rework/Approval Comments box as necessary.
  8. Click on the Save button. The document's status is changed to Marked as Pre-Approved and it will no longer appear in your document Search Grid (unless you are also listed as the document's approver or reviewer).

An email is sent back to the Author with your rework comments and a link to the document in the Sandpit Document folder.

If all named Pre-approvers select No Change Required the author is permitted to submit the document for approval.
